TOURNAMENT PROCEDURES
1. The United States Tennis Association (USTA) provides guidelines and formats for tournament play, a code of conduct, and a National Tennis Rating Program (NTRP) rating for USTA members. These USTA guidelines shall govern the Club Tournaments and the Bradshaw Open.
2. Tournament categories for the three club closed tournaments shall be based upon the following color categories for both men and women (descending order): Red, Green, Blue, Black, Orange, and Brown.. When club members register for a club sponsored tournament, they will sign up for a level of play in accordance with their color category. Players will always be permitted to participate at a level higher than their assigned category; however, they will not be permitted to participate in a lower category unless approved by the Ratings Committee. In the men's and the women's doubles tournaments, teams will play at the level of the highest ranked player on the team. In mixed doubles tournaments the level of play will be determined by the combined color categories of the two players.
3. Levels of play shall be determined by the tournament director for each event depending upon the number of participants in each category. If there are fewer than three entrants in a category, it shall be canceled. The USTA Guide suggests formats for low entrant tournaments.
4. A round robin format is used.
5. CTC club tournaments shall allow all players to participate in their club category regardless of the number of times they win a closed tournament. There are three closed tournaments--singles, doubles, and mixed doubles. In doubles the red division winners may defend their title one time. If they are successful in defending their title, they cannot play with the same partner in the next like closed tournament. The red division singles winners may defend their titles until such time as a higher level is formed. The Ratings Committee will determine the need for players to move to an appropriate category.
6. HOA#2 Chapter 7-50 limits the CTC to one social and to one club tournament per month (non-cumulative).

TENNIS CLUB ACTIVITIES
Per HOA#2 Chapter 7-50 the Homeowners Board has granted the CTC priority time on five Cottonwood tennis courts on Monday - Friday for a total of 7 1/2 hours October 1—April 30 and 6 hours starting at 7 AM and 6 hours May 1—September 30 starting at 6 AM.
CTC will schedule play to consist of doubles for women on Monday and Wednesday; men on Tuesday and Thursday and mixed on Friday. On each day there will be five 1.5 hour sessions.
The priority system for the use of the courts during club time activities has been established by CTC to fully utilize all of the courts. The order of priority is as follows:
First priority—those who are scheduled, based upon prior sign-up and pairing by the Organized Play Coordinator or the League Director, have first priority. If court time is not fully used by prior sign-ups, the club reserves the right to develop programs that will provide for full utilization of the courts.
Second priority—If the courts are not assigned when the Schedule of Play is posted by the coordinator and the director, any CTC member may sign up for an open court for up to three other CTC members. Both men and women may play during this priority, regardless of the weekday.
On the day of play, any courts not already reserved by members signing up (see above priorities) become open play courts for drop- in play as governed by current HOA#2 Chapter 7-50.
SPECIFIC PROCEDURES FOR ORGANIZED PLAY
1. Scheduled play sign-up sheets will be posted on the bulletin board one week prior to the day of play. For the months of October - April, the coordinator will post the sign-up sheet at 8:00 am for both men and women. For May - September, the sheets will be posted at 7:30 am. Any change in these times must be approved by the CTC Board of Directors.
2. An individual may sign up for no more than two players and no player may sign up for more than one scheduled event on the same day except as an alternate.
3. A player who signs up and then decides not to play can cross out his/her name. If there is an alternate listed, insert the name of the first alternate and inform the alternate of the change.
4. If the sign-up sheet has been removed from the bulletin board by the coordinator, but final court assignments have not yet been posted, the player wishing to cancel must call the coordinator and explain the problem.
5. Final court assignments will be made by the coordinator and posted at least 48 hours in advance of the day of play.
6. Once the final court assignments have been posted and a player wishes to cancel, the player must check to see if an alternate has signed up for the timeframe in question. If there is an alternate, the player must personally contact that person. If the person agrees to substitute, the name must be changed on the final court assignment sheet.
7. If the final court assignment schedule is posted and a player wishes to cancel and there are no alternates listed, the player should seek an appropriate level substitute from his/her own list of CTC member friends. If this fails, the player must notify the other three players that he/she cannot find a substitute.
8. A player needing a substitute due to a medical emergency should ignore items 6 & 7 above and call the coordinator directly to find a replacement.
9. Players are not allowed to add their name to the Schedule of Play Sheet with “need one”, “need two”, or “need three” players. The players must add their names as an alternate.
10. Failure to appear for a scheduled match will result in a personal contact by the coordinator of organized play to determine the reason for the absence. The second offense in one year can result in a written communication from the Board of Directors, and a third offense can result in suspension from scheduled play for up to two months from the date of the last infraction.
11. All players must check the Schedule of Play sheet within 48 hours prior to playing.
12. Players who sign up earlier are given priority over those who sign up later.
13. Coordinators will be allowed to modify member ratings for organized play only. They are to match players by ranking whenever possible within the sign-up time priority.



SPECIFIC PROCEDURES FOR LEAGUE PLAY
1. CTC Board of Directors' approval must be secured prior to implementation.
2. There must be a minimum of twenty regular members per approved league for it to be given financial support from CTC.
3. The league participants will be of the gender for the players who have reserved time for that day, i.e., women on Mondays and Wednesdays and men on Tuesdays and Thursdays.
4. Sign-up procedures will be developed by the Organized Play Coordinator and the League Director and/or Event Coordinator to maximize court utilization and to provide an equal opportunity for sign up by organized play participants and league participants in terms of the specific time periods and court assignments. If the coordinators cannot reach an agreement, specific problems will be referred to the Vice President for resolution. The Vice President may consult with the CTC Board before a final decision is rendered.
5. Men's and Women's League Handbooks are available to aid the league directors.
